Referring a Candidate in Workday

This document provides employees with instructions to refer candidates for employment at the University of Chicago using Workday.

Keep in Mind

· Before completing the referral process in Workday, it is important to discuss your intention with the candidate to ensure they are aware and agree to be referred.

· Carefully consider if the candidate will be a good fit for UChicago.

· To complete the process in Workday, the following information about the candidate is required:

· Name.

· Contact Information (Email or Phone Number).

· Address.

Steps

1. Log into Workday using your CNetID and password.

2. There are two ways to initiate the process:

a. To refer a candidate for ANY open position, type Refer a Candidate into the search box at the top of the screen and select the suggested task that appears below this box.

b. To refer a candidate for a SPECIFIC open position:

i. Select Menu in the top-left corner and choose the Career App.

ii. Navigate to the Find UChicago Jobs tab from the UChicago Jobs left-side panel.

1. If the UChicago Jobs panel is collapsed:

a. Use the Navigation Pane icon, represented by an arrow next to a vertical line, and located at the top left corner of the App, to expand or collapse the panel and adjust screen space.

b. Alternatively, with the panel collapsed, select the Find UChicago Jobs icon, represented by a magnifying glass icon.

2. Use keywords in the search bar or filters on the left side of the screen to find a position. Once a position is identified, select its title to review the job description and details. When ready, select Refer.

3. The Refer a Candidate/Refer a Candidate From Internal Career screen will appear.

4. Fill out the required fields for the person being referred. These fields, identified by a red asterisk, must be completed for submission.

a. Referral DetailsCountry will default to United States of America. Use the Hamburger Menu (the icon with 3 dots and 3 dashes) to the right of the corresponding prompt box to change this field if necessary.

b. Name – Input First and Last Name.

c. Contact Information – Although not marked with a red asterisk, entering at least one Email address or Phone Number is required. If providing a Phone Number, select the Phone Device Type and the Country Phone Code.

d. Address – Fill out all fields in this section.

e. Job Details – This section is accessible only when referring a candidate for ANY open position. While not marked as required fields, entering at least one Job or one Job Area is needed to move forward. Use the Hamburger Menu to select Jobs and/or Job Areas that align with the candidate's qualifications.

5. If desired, fill out optional fields.

a. Relationship Details – Specify the Relationship with the candidate. If necessary, use the Comments box to elaborate on the relationship.

b. Resume / Cover Letter – Located at the top right side of the screen, this section allows for document uploads either by choosing Select Files and selecting a file from your computer, or by dragging and dropping the file into the gray box. To insert additional documents, select Upload and add the files. If an incorrect document is mistakenly uploaded, select the trash can icon.

6. Once all sections are complete and accurate, select Submit.

7. After submitting the referral, the candidate will receive an email containing a link to either the UChicago job board or the specific job posting.

8. When the candidate applies, the name of the referrer will be linked to the application submitted to the hiring department.7
