Workday Learning Reports


Purpose

This document aids Content Creators, Learning Partners, HR Partners, Managers, Unit FST Leads, and Primary Role Assignment Owners in a walk through the Workday Learning reports created to show real-time individual learning progress.

Terminology

Workday Learning

· Assignment: a learning task that an administrator or manager assigns to a user, along with a due date.

· Course: a combination of lessons, with or without an instructor, focusing on a specific subject area.

· Enrollment: the action to place yourself or someone else on the official program/course list.

· Lesson: the individual learning objectives assigned to a course.

· Program: a collection of courses, structured as a curriculum covering a broader topic.

Learning Program/Course Statuses:

These reports provide the following statuses.

· Blank Status

· Program: The program used a Workday Campaign to notify workers that they can self-enroll in a program/course.

· Course: This course is in a Learning Program, but the user did not enroll for the course.

· Completed

· Program: All required courses in the program are completed.

· Course: All required lessons in a course are completed.

· In Progress

· Program: The learner is enrolled in the program and has acted on the courses in the program.

· Course: The learner is in the middle of the course.

· Instructor-led training (ILT): This status will start when the date and time of the course occurred through when the course attendance is completed.

· Computer-based Training (CBT) or Video: The learner is in the middle of watching the video but has yet to reach the end of the video.

· Not Started

· Program: The learner is enrolled in a Learning Program but has not selected "Start Program".

· Course: The learner is enrolled in the course but has not started the course.

Note: Instructor-led Training will stay in Not Started status until the date and time of the Course occurs.

Learning Assignment Statuses:

· Completed: Worker completed all courses in the learning program assignment.

· Incomplete – Not Overdue: The worker has not completed the learning program assignment but assigned due date has not been reached.

· Incomplete – Overdue: The worker has not completed the learning program assignment but is now passed the assigned due date.

· Learning Assignment Waived: The learning program is assigned to a worker but is later identified that they do not need the training, therefore the training program assignment has been waived.

Running Reports

Below describes how to access the report and the available prompts for you to run your report:

1. After logging into Workday, type the report’s name in the search box. As you are typing the report name will appear, select the report when it appears in the prompt.

2. Begin to enter the search criteria in the pop-up box and select OK. Below are the various search criteria you can choose from:

a. Learning Program: by default, the Learning Programs connected to required training programs for Oracle system access are selected. Select the Hamburger Menu (icon with three dots and three dashes) and select the checkbox next to the Learning Program(s) you wish to search for. To quickly select several consecutive options, first select the first program you want to include. Then, hold down the Shift key and select the last program in the list. This action will select all items between the first and last programs

· If you are unsure and are looking for programs relevant to the FST implementation you can take the following actions:

· For Oracle ERP: type in Oracle and Orbit Training, then select all the Oracle and Orbit training programs that appear.

· For Oracle Planning: type in Planning and select all the Planning training programs that appear.

b. Due Date On or After: you may enter the starting time frame for a due date.

c. Due Date on or Before: this due date is required and is the last date for which the Learning Program(s) are due.

d. Supervisory Organizations for Learning Assignment: this is a required field; you will enter the Workday supervisory organization for the unit of people in which you are searching.

e. Include Subordinate Organizations: By default, this field is selected to include all the supervisory organizations that roll into the organization you entered in step g.

f. Job Family: Optionally you can select specific job families to further filter workers in specific job families.

g. Worker: Optionally you can look up a singular worker by typing the worker's name and hitting enter.

h. Assignment Mechanism: you may skip the prompt; this is only necessary for Workday Content Creators. Content Creators can use this field to identify users who were not assigned training through the EIB, Mass Enroll, or Campaign but were assigned by their manager or self-enroll.

3. When the report appears, you will see a breakdown of the worker’s learning progress by program.

IMPORTANT: if you receive a window stating Notify Me Later, do not take any action; the report will populate once it’s available. By avoiding Notify Me Later, you can interact with the report in Workday.

Interacting with the Reports

Below describes how to interact with the two reports:

RPT – Learning Assignment Program Tracking

The first row will display the Learning Program Progress for each program.

A new program row is identified by displaying information in the following columns - Program Status, Worker, CNET, Org Code, Supervisory Org, Employee Type, Learning Program, Total Content in Program, and Total Content Completed in Program.

Note: When the program is assigned via campaign – the worker needs to enroll into the program first, for the associated courses to display.

Each row below the Learning Program row, will display the training courses associated with the Learning Program and the course progress. Course rows will not display information in the following columns - Program Status, Worker, CNET, Org Code, Supervisory Org, Employee Type, Learning Program, Total Content in Program, and Total Content Completed in Program.

Like excel, each column can be filtered to further narrow your scope. To filter, select the column header to access the filter/sort options. Below is an explanation of each column:

· Program Status: This displays the different program statuses. Statuses include Completed, In Progress, and Not Started. To review what each status means, review the Learning Program/Course Statuses above.

· Worker: The individual worker assigned to the Learning Program.

· CNET: The worker’s CNET ID

· Org Code: The unit the worker is assigned to.

· Supervisory Org: The worker's home organization.

· Employee Type: The designated worker sub-type for the individual.

· Learning Program: The name of the learning program assigned to the individual.

· Total Content in Program: The number of courses assigned to the program.

· Total Content Completed in Program: The number of programs the worker has completed.

· Content Item: The course titles associated with the program.

· Content Item Completion Status: the course status associated with the worker. Statuses include Completed, In Progress, Not Started, or Blank. To review what each status means, review the Learning Program/Course Statuses above.

· Content Item Registration Date: The date the worker enrolled in the learning course. If this is blank the worker has not enrolled in the course.

· Content Item Completion Date: This is the date the worker was marked completed for the course. If this is blank the worker has not completed the course.

· Assignment Completion Moment: this flag identifies that the worker was assigned training.

· Blue Flag: the worker’s program is still in progress.

· Green Flag: the worker’s program is completed.

· Orange Flag: the worker's program is completed late (overdue)

· Red Flag: the worker's program is not completed late (overdue)

· Yellow Flag: the worker’s program assignment is waived

· Assignment Complete Status: provides the overall Learning Assignment Status.

RPT – Learning Assignment Program Tracking – Summary

This report provides a summary-level view of each program’s learning progress. Any text in blue font within these reports shows a hyperlink to other screens or reports. Utilize these hyperlinks to navigate to different pages or to discover more insights related to the data in the initial report. Follow these steps to interact with the hyperlinks:

1. Select the blue text to drill down for more information on the data. Once chosen, a table will display.

2. Further sort the displayed table, by selecting from the View By dropdown options.

3. Also, select the arrow next to a number. By selecting the arrow, you can change the current view to display information in a different view, or you can drill-down to the RPT – Learning Assignment Program Tracking report.

Note: This table allows you to change how the information displayed. To change the view, select the prompts provided in the View By dropdown options.

Below provides details about the two types of views available in this report:

Bar Graph

When interacting with the Bar Graph, you can hover over a bar in the graph, displaying the Learning Program name and the total number of individuals in that bar.

Table

When interacting with the table, each column represents a Learning Program, and each row represents a Learning Assignment Status and the Learning Program/Course Status associated with the program. Each number on the table will display the count of people in the Learning Program and associated status.
